Procedures for Final Paper Submission


 

STEP 1: Preparation of IEEE eXplore Compatible Manuscript

 

A. Paper Format

All papers submitted to the AIM2005 must be in Letter-sized standard 2-column Proceedings format and converted to PDF for uploading. Do not use IEEE transactions style files or templates.

B. Paper Length and Submission Policy

Accepted regular and invited papers are limited to 6 pages. Each additional page over the above limits incurs a page over-length fee of $150 USD per page. No paper may exceed a maximum of 2 over-length pages, i.e., in no case can a regular or invited paper exceed 8 pages. Over-length papers will NOT be published in the Proceedings unless the over-length charges are paid. Page over-length fees are paid using the on-line system during registration. The length of the abstract is preferably limited to 100 words as the first 100 words of the abstract (or 850 characters, whichever is smaller) will be posted in the conference digest.

It is the responsibility of the corresponding author to correctly list all the authors. Please create a pin number for each of the co-authors and enter their pin numbers in your final submission; otherwise, the names of your co-authors will not show up in the program and on the copyright form.  The pin can be created using the pin wizard: http://ras.papercept.net/conferences/scripts/pinwizard.pl

C. IEEE PDF Compliance

IEEE requires that all papers submitted to the conferences must meet their new PDF compliance requirements. These requirements are available at

Note that papers not meeting compliance criteria will not be accepted by the system.

 

D. Preparation of final manuscript using IEEE PDF eXpress

To avoid IEEE PDF-compliant problems, the authors are encouraged to use a free tool offered by IEEE to convert the manuscript from any source file into compatible PDF file. AIM 2005 has registered for use of a new IEEE tool.

IEEE PDF eXpress is a free service to IEEE conferences, allowing their authors to make IEEE Xplore-compatible PDFs (Conversion function) or to check PDFs that authors have made themselves for IEEE Xplore compatibility (PDF Check function). The new IEEE Xplore Requirements for PDF will be enforced as of 2005. All conference articles submitted for inclusion in IEEE Xplore must adhere to the IEEE Xplore PDF specification for compatibility.

Steps for submission:

1) Create your manuscript(s)

2) Proofread and check layout of manuscript (it is highly recommended that you do this BEFORE going to IEEE PDF eXpress.)

3) Create IEEE PDF eXpress account

4) Upload source file(s) for Conversion; and/or PDF(s) for Checking

5) Use IEEE PDF eXpress to attain IEEE Xplore-compatible PDF(s). The site contains extensive instructions, resources, helpful hints, and access to technical support.

6)  Submit final, IEEE Xplore-compatible PDF(s) to conference submission website stated in STEP 2. The deadline is May 20, 2005.

STEP 2: On-line Registration

The registration will be available at the time of final submissions and link for registration and over length page charge payment will appear on the paper submission page.

In submitting a paper to AIM2005, at least one author must commit to attend the conference to present the paper and will comply with conference registration policy.  One registration fee at the advance registration rate must be paid by one of the authors before uploading the final version of the paper for inclusion in the conference proceedings.

 

The registration fee for Members and Non-Members includes admission to all sessions, an invitation to Coffee Breaks, Welcome Reception, Banquet, one CD proceedings and trip to Monterey Bay aquarium (trip includes transportation, admission ticket and dinner). Student registration includes admission to all sessions, an invitation to Coffee Breaks, Welcome Reception, and one CD proceedings.

** Student participants, you will be requested to present your valid student ID at the registration desk onsite, so please DO NOT forget to have your student ID with you.

***IEEE or ASME life members should wait till Monday, May 16 to register.

Student participants and Accompanying Persons wishing to attend the Banquet should indicate their preference at the "Banquet" field at the REGISTRATION page and complete their payment of banquet fee $70 USD additionally.

 

STEP 3: Submission of Final IEEE Xplore-compatible Manuscript

All IEEE Xplore-compatible manuscript submissions must be done electronically through the conference submission web site:

STEP 4: Submission of Copyright transfer form

The copyright transfer process is now fully electronic and integrated in the submission process and hence you no longer need to download and send a signed copy of the copyright form.
